Privicy Policy

St Alfred’s 4WD Group (referred to as “the 4WD Group” or “us”) is a ministry of St Alfred’s Anglican Church, Blackburn North (referred to as “the Church”). As such, we are bound by the privacy policy of the Church. Your personal information relating to your involvement with the 4WD Group is, however, held separately from that of the Church and is not shared in any way with the Church unless required to do so in the case of an insurance claim or litigation.

Personal information held by the 4WD Group may also include details of your vehicle including registration number, details of trips you have attended and of training you have undertaken through the 4WD Group and/or of training you have informed us about.

Trip Participants Form

A list is created for each trip which contains your name and vehicle details including registration number. A copy of the form is distributed to the principle driver of each vehicle on the trip. The purpose is to accurately identify which vehicle they should be following in the convoy. A second version of this form which contains your contact details, is carried by the Trip Leader and Tail End Charlie.

Email Addresses

It is our policy not to publish your email address so all group correspondence is sent using Bcc . This is a manual process which can be performed by a number of people (trip leaders) and although a reminder has been placed in the system, we cannot guarantee that this will always happen. Once you join a trip your email address may be distributed to other members of the trip to aid in planning. This is more likely to happen for longer trips.

Submitting a Request to Delete Your Personal Information

Your personal information will be deleted from the 4WD Group records by sending us an email titled “UNSUBSRIBE”. Note that this will remove any record of training including completing our 4WD Proficiency Course which is a prerequisite to attending a 4wd trip with a rating of Medium or harder. (If you only wish to be removed from the mailing list but want your training history retained, send an email titled “MEMBER – NON MAILING”)

Note that removing your personal details from the 4WD Group will have no effect on details held by the Church. If you want your personal details removed from the Church, then you will need to contact them directly.

 How the 4WD Group Records Your Email Address

Entering into any email correspondence with the 4WD Group, before or following a request to UNSUBSCRIBE, will automatically cause your email address to be recorded but no other information will be logged.

Correspondence is a part of our own personal records and will not be deleted along with your personal details.

Photo Policy

We ask you to complete a Photo Release Form for each participant travelling in your vehicle.  This gives us permission to publish trip photos on our website.

Social Media.

Photos or videos which identify St Alfred’s Anglican Church, the 4WD Group or other associated organizations, are not to be put on social media without first obtaining written permission from the relevant organization.
